Volunteers for Club XC race 12/2

Just thinking that we need to get some things organised for the race. I'll update this post as i think of things & other things are suggested.


Things that need doing before the day?
  • Parking area on the neighbouring property organised? Permission from owner & area slashed?
  • Porta Loos organised? I'll take care of this. Done. 2 Toilets will be dropped to the end of Amos Rd Friday 10/2
  • Council Permit organised?SIZE=1]Yep[/SIZE]
  • Plenty of flyers distributed around town? Think so[/SIZE]
  • Club first aid kit located? ] Yep, Zach H to bring on sunday[/SIZE]


Who can volunteer on the day before?
Jobs will include:
  • Signage from Withcott to the track, including GO SLOW signs on Amos Rd - 1/2hr Jiel
  • Bunting of the course - 1-2hrs Ryan, Erren, Jiel, John
  • Shopping for the BBQ/Drinks - 1-2hrs Mark Joy



Who can volunteer on the day?
Jobs will include:
  • Set up of easy ups & registration area - 6am ish Jason, Kyle, Jiel
  • Car parking co ordinator (1 person) Steve
  • Registration - 7am-8am (Probably need 4-6 people for this) Jason, Kyle, Pete, Jiel, Ryan, Steve
  • Timing - 8am-9.30am (If 90 people show like they did for round 1 @ adare, we should probably have 6 people for this, 2 for each grade?) Jiel, Zach, D Mac, Pete, Steve
  • BBQ/Drinks - 9.00am-10.00am (2-3 people) Mark Joy, Lloyd, Mitch
  • Pull down of bunting after race - 9.30am-10.00am (2-3 people) TMBC members
  • Posting of results online Jason, Louis
  • Photo's? Dennis, D Mac


Most jobs on the day could be covered by the same 4-6 people & would require a total of 4hrs of your time. If your racing this is the time to get you Mums, Dads, WAGS etc involved. Without volunteers these events simply do not happen.

Happy to help set up bunting the day before and if needed before race will help with registration.

I would like to race though.

I am able to help set up at the start of the day and/or pack up at the end of the day. Ive also been trying to find out the exact course for the day, obviously the rollercat but will it include the conection or the two bits above (the western side) of the Crebra. If this can be confirmed so I can go down and cut back the track where its needed.
Just to note I was down there yesterday(wednesday) and there is a lot of growth from recent rain and this will require a fair bit of work to get the track "race ready".
Will the area(Frenzy, Turkey, Rollercat) get closed to the public for the morning?

Mark Joy is available to pick up food and drinks Saturday, then run the BBQ on Sunday. I'll need some advice on what to get and how much? Will someone else cover the cash till? Will someone else get the BBQ or I can bring it in trailer if necessary.

Yeah, guess we'll need to know the course so it can be set out correctly on Saturday 11/2, I should have some time during the week next week to do some prep work on the track where required.

I've got the club beverages at home so I will make up a list of what we have and what we need. Off the top of my need we will only need some soft drinks and maybe some cartons of powerade.

And I'm free to do whatever needs to be done. Ill just fill in the gaps where needed Jason.

Hey Guys

I don't want to cut anybody out here but I am happy to source the non coke soft drinks at 'my wholesale' price. 375 ml Cans, 600ml bottles - soft and water, gatorade (sorry its not powerade delivery week) and would be pleased to donate a carton of soft drink to the club ( as I haven't been able to do much at all lately to help out). I'd be happy to drop it all off at Mark's place if it suited as I am not sure I will be around on the race weekend:(

All I would need to know is the type and quantity by next Monday so I can place the order. Aside from the 'donation' I can invoice the club for the remainder if it suits. - Send me a pm with a phone number to discuss if you want.

I'll come down and help sunday morning. I have a dual cab ute if anything needs to be brought down in the morning. I'll help wherever needed.

Seeing as the club ezi-up is at my place, I'll bring it down and set it up. I can bring a fold out table too.

As I have to look after my boys on the day I probably won't race, so will be available for any jobs that need doing.

I'll be heading down Saturday arvo around 4pm to set up all the bunting for race day so I have a couple of questions...

1. Does the club have bunting tape and star pickets/wooden stakes? I'm happy to get some if needed and donate it to the club.
2. Has the final course been settled on for all three grades and who should I talk to about this? PM me a contact number please... want to make sure I set it up correctly.
3. Do I need to put up signs on the road or was someone else doing this?

I'll prob be heading down later today to do some more trimming/clearing so I can check it all out beforehand.

Hi E,

At the meeting last night we organised to meet at the bottom Gazebo at 3.00pm to put up the bunting. If you cannot make it by that time we should still be going when you get there. Jiel is bringing the stakes and bunting along and I believe the signs are all sorted.
